CallLatch Privacy Policy

CallLatch LLC ("CallLatch," "we," "us," or "our") provides an AI phone receptionist and front-office platform for home-service businesses. This Privacy Policy explains what information we collect, how we use it, who we share it with, how long we keep it, and the choices you have. It applies to our website at getcalllatch.ai, our dashboard, our phone and text services, and any related services (together, the "Services").

1. Who this policy covers

When CallLatch answers calls for a Customer, we process Caller information on that Customer's behalf and under their instructions. Callers with questions about how a specific business uses their information should also contact that business.

2. Information we collect

Account and business information. Name of the business, business address, service area, trade, business hours, pricing and scheduling rules, owner contact details (email address and phone number), login credentials, and settings you choose in setup (such as receptionist voice and greeting).

Call and message data. When our AI receptionist answers a call or text for a Customer, we collect: - The Caller's phone number and caller ID information - Audio recordings of calls - Transcripts and summaries of calls - Text message content sent to or from the business line - Job details the Caller provides, such as name, service address, the problem or service requested, urgency, preferred appointment times, and any notes

Google Calendar data. If you connect your Google Calendar, we access calendar event data as described in Section 4.

Billing information. Payments are processed by Stripe. We receive limited billing details from Stripe, such as your name, billing email, subscription plan, payment status, and the last four digits and brand of your card. We do not receive or store your full card number.

Usage and device information. When you use our website or dashboard, we collect basic technical data such as IP address, browser type, pages viewed, and timestamps, and we use cookies needed to keep you logged in and the Services working.

Communications. If you email us or contact support, we keep the content of that communication.

3. How we use information

We use information to: - Answer calls and texts for Customers, understand what the Caller needs, and capture job details - Book, reschedule, or cancel appointments on the Customer's calendar - Send SMS and email notifications to Customers (for example, a new job alert) and, where the Customer has set it up, to Callers (for example, an appointment confirmation) - Provide the dashboard, including call history, recordings, transcripts, and job records - Process subscriptions, free trials, and payments - Test, monitor, and improve the accuracy, safety, and reliability of the Services - Provide customer support - Detect and prevent fraud, abuse, and security incidents - Comply with legal obligations

We use AI models, including third-party large language model and speech providers, to transcribe and interpret calls. These providers process data only to deliver the Services to us and are not permitted to use it to train their own models for other purposes, to the extent their terms allow us to require this.

We do not sell personal information. We do not use Caller or Customer data for third-party advertising.

4. Google Calendar data

CallLatch offers an optional integration with Google Calendar so that the AI receptionist can book jobs directly on a Customer's calendar.

What we access. With your permission, we request this Google Calendar scope: - https://www.googleapis.com/auth/calendar.events (sensitive): lets CallLatch view, create, update, and delete events on the calendar you connect. The data we access includes event times, titles, descriptions, locations, and attendees on that calendar.

We do not request access to any other Google data.

How we use it. We use Google Calendar data only to: - Check when you are busy or free so we offer Callers open appointment times - Create events for jobs booked by the AI receptionist, including the job details and Caller contact information needed for the appointment - Update or cancel those events when a job is rescheduled or cancelled - Show your booked jobs in the CallLatch dashboard

We do not use Google Calendar data for any other purpose.

What we do not do. We do not sell Google Calendar data. We do not use it for advertising, including personalized, retargeted, or interest-based advertising. We do not use it to train generalized AI or machine learning models. We do not allow humans to read it, except (a) with your explicit consent for a specific item (for example, when you ask for support), (b) when necessary for security purposes such as investigating abuse, (c) to comply with the law, or (d) when the data has been aggregated and anonymized for internal operations.

Sharing. We do not transfer Google Calendar data to third parties except as needed to provide or improve the calendar features you use, to comply with the law, or as part of a merger, acquisition, or sale of assets with notice to you.

Limited Use. CallLatch's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Storage and retention. We store the OAuth tokens that let us connect to your calendar in encrypted form. We do not keep a full copy of your calendar. We store only the event information needed to run the Services, such as the jobs CallLatch booked. If you disconnect Google Calendar, we stop accessing your calendar immediately and delete your stored tokens and any cached calendar data within 30 days. Events CallLatch already created remain on your Google Calendar unless you delete them there.

How to revoke access. You can disconnect Google Calendar at any time by: - Going to your Google Account at https://myaccount.google.com/permissions, selecting CallLatch, and choosing "Remove access," or - Emailing team@getcalllatch.com and asking us to disconnect it.

5. SMS messages

CallLatch sends text messages such as new-job alerts to Customers and, where set up, appointment confirmations or follow-ups to Callers. Message and data rates may apply. You can reply STOP to any message to opt out of further texts from that number, or HELP for help. We do not sell phone numbers or use them for marketing unrelated to the Services. Mobile numbers and SMS opt-in consent are not shared with third parties for their own marketing purposes.

6. How we share information

We share information only as described here: - With the Customer. Caller information, recordings, transcripts, and job details are shared with the business the Caller contacted. - Service providers. We use trusted vendors to run the Services, including providers for telephony and voice (such as Vapi and Twilio), speech-to-text (such as Deepgram), AI language models (such as OpenAI and Anthropic), cloud hosting (such as Cloudflare), email, and payments (Stripe). They may use information only to provide services to us. - Legal and safety. When required by law, subpoena, or court order, or when needed to protect the rights, property, or safety of CallLatch, our Customers, Callers, or others. - Business transfers. If CallLatch is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that deal, subject to this policy. - With your consent. For any other purpose you agree to.

7. Call recording notice

Customers are responsible for making sure their use of call recording complies with the laws that apply to them, including any law that requires notice to or consent from all parties to a call. CallLatch can play a recording notice at the start of calls, and Customers can turn this on in their settings.

8. Data retention

We keep information for as long as the Customer's account is active and as needed to provide the Services. By default: - Call recordings, transcripts, and job records are kept while the account is active, unless the Customer deletes them sooner - After an account is closed, we delete or anonymize Customer and Caller data within 90 days, except where we must keep it longer for legal, tax, accounting, or security reasons - Billing records are kept as required by tax and accounting law - Google Calendar data is handled as described in Section 4

9. Security

We use reasonable technical and organizational measures to protect information, including encryption in transit, encrypted storage of access tokens, access controls, and audit logging. No system is completely secure, and we cannot guarantee absolute security.

10. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, or get a copy of your personal information, or to object to or limit certain processing. Customers can view and delete most data in their dashboard. To make a request, email team@getcalllatch.com. We will respond within the time required by law. We will not discriminate against you for exercising your rights.

Callers who want to access or delete information from a call to a business should contact that business, or email us and we will pass the request along.

11. Children

The Services are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

12. International users

CallLatch is based in the United States and processes data in the United States. If you use the Services from outside the United States, your information will be transferred to and processed in the United States.

13. Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify Customers by email or in the dashboard before the change takes effect. The "Last updated" date above shows when this policy was last changed.
